Submitting metadata to the eLwazi Catalogue
Organisations and projects that would like to increase their dataset exposure, findability, usability and accessibility can submit a request to list information about their dataset/s on the eLwazi Catalogue. Dataset providers must commit to maintaining their dataset’s metadata on the catalogue and work towards making sustainable long-term data management plans, electing a Metadata Steward who will receive training and support from the eLwazi Catalogue development team.
Step 1: Register as a NEW organisation or project data provider
If you are new to the eLwazi Catalogue, you will need to identify a person who will be your Project Metadata Steward responsible for managing your eLwazi metadata on the catalogue database, and you must complete an Expression of Interest form HERE.
You will be asked to submit the following details on the form:
- Name of affiliated consortium/network (if any)
- Project Title
- Principal Investigator name and email address
- Dataset Type/s
- Elected Metadata Steward name and email address
- Project URL (if any)
- Motivation for listing dataset
Note: If you already have an organisation/project registered on the eLwazi catalogue and an elected project Metadata Steward, please proceed directly to Step 3.
Step 2: Receive support and training from the eLwazi Catalogue development team
The eLwazi Catalogue development team will make contact with the elected Metadata Steward within 3-5 working days of receiving the Expression of Interest form, establish a login profile to the REDCap instance hosting the catalogue backend database*.
Training videos for navigating the REDCap database are available HERE, and guiding documentation for data entry HERE. These should be reviewed in advance by the elected Metadata Steward/s.
An online meeting will be scheduled to assist with an initial dataset submission.
*Metadata Stewards will only be able to view, add, edit and delete records for their own organisation/network.
Step 3: Add or Edit Projects and Datasets
Metadata stewards can log in to the REDCap database and add project/s under the organisation / network of their allocated Data Access Group, from there, one or more datasets can be added or edited for listing in the catalogue. Metadata Stewards who may be working across multiple projects in different organisations may be allocated different data access groups which can be switched between.
Metadata Stewards will be able to check their content on preliminary reports and then, once satisfied with their content, mark it to go live on the catalogue by the following day.
